Adding and Editing Inventory Items

The Inventory module in FieldPulse provides a centralized catalog of parts, materials, and equipment used across your work orders. Maintaining accurate item records ensures proper tracking, accurate billing, and reliable low-stock alerts.

Accessing the Inventory Module

Navigate to Inventory from the main sidebar menu. The default view displays all active items in your catalog. Use the Search field or filter options to locate specific items.

Adding a New Inventory Item

  1. Click Add Item in the top-right corner of the Inventory screen.
  2. Enter the required fields:
    • Item Name — A descriptive name visible to technicians and in reports
    • SKU — Your internal stock-keeping unit or manufacturer part number
    • Category — Select from existing categories or create a new one
    • Unit Cost — Your purchase price per unit
    • Unit Price — The price billed to customers (optional)
  3. Complete optional fields as needed:
    • Description — Internal notes or specifications
    • Supplier — Linked vendor for reorder reference
    • Reorder Point — Threshold for low-stock alerts
    • Current Stock — Initial quantity on hand
  4. Click Save Item.

Editing Existing Items

  1. Locate the item in your inventory list.
  2. Click the three-dot menu to the right of the item row and select Edit.
  3. Modify fields as needed. Changes to pricing or stock levels are logged automatically.
  4. Click Save Changes to commit updates.

Bulk Editing

For updates to multiple items, use the Bulk Import function. Export your current inventory to CSV, make changes in your spreadsheet application, then re-import. See Bulk Importing Inventory via CSV for detailed instructions.

Item Status and Availability

Items may have one of three statuses:

Status Behavior
Active Available for selection in work orders and visible in reports
Discontinued Hidden from new work orders but retained in historical data
Archived Excluded from all lists except filtered archive views

To change status, edit the item and select the appropriate value from the Status dropdown.
