Creating a Custom Checklist Template

Checklist templates ensure consistent quality across every job your team completes. This article covers building reusable templates with various question types, conditional logic, and required field settings.

Accessing the Template Builder

  1. Navigate to Settings > Forms & Checklists > Templates
  2. Click Create New Template
  3. Enter a template name and description (visible to technicians in the field)

Question Types

The template builder supports the following field types:

Configuring Required Fields

Toggle the Required switch on any question to prevent checklist submission until a response is provided. Required fields are marked with a red asterisk (*) in the mobile app.

Note: Photo and signature fields cannot be marked required if Offline Mode is enabled for the work order type, as these features require network connectivity for verification.

Adding Conditional Logic

Conditional logic (available on Advanced and Enterprise plans) allows questions to appear based on previous responses:

  1. Select the question that will trigger the condition
  2. Click Add Logic in the right panel
  3. Define the condition (e.g., "If Equipment Condition equals Needs Repair")
  4. Choose which questions to show or hide

Conditions can be nested up to three levels deep. Complex workflows with more branches should be split across multiple checklist templates.

Organizing with Sections

Use Section Breaks to group related questions. Sections appear as collapsible headers in the mobile app, helping technicians navigate long checklists efficiently. Each section can have its own completion requirement—useful for multi-stage inspections.

Setting Default Answers

Pre-populate responses when a consistent starting point is expected:

  • Text/Number: Enter default value in the Initial Value field
  • Yes/No: Select Default to Yes or Default to No
  • Multiple Choice: Check one or more options as pre-selected

Technicians may override defaults before submission.

Saving and Activating

Templates are saved in Draft state until explicitly activated:

  1. Click Save Draft to preserve work without publishing
  2. Click Activate Template when ready for assignment
  3. Review the activation confirmation, which lists affected work order types

Deactivating a template does not remove it from in-progress work orders. Existing checklists remain available for completion and reporting.

Testing Before Deployment

Use the Preview button to simulate the technician experience on desktop. For full mobile testing, create a test work order and assign the checklist template before rolling out to your field team.
