After running dispatch for a 40-tech HVAC operation through three full seasonal cycles, I've got strong opinions on this one. Most teams treat every week like it's any other week — then wonder why they're scrambling in July and December.
Here's how we stopped fighting the calendar and started using it.
Why Seasonal Patterns Matter More Than You Think
Your demand isn't random. It's shaped by:
- Weather patterns (obviously)
- Equipment age demographics in your service area
- Tax refund timing driving replacement decisions
- Commercial contract renewal cycles
The mistake I see: teams build one schedule template and try to stretch it across the year. That breaks exactly when you need it most.
Mapping Your Annual Cycle

The Recurring Template Trick
Here's what made this actually operational for us: we don't just template individual jobs. We template the whole weekly pattern.

- Base layer: Standing PM appointments (annual furnace checks, commercial contract terms)
- Flex layer: 20% buffer capacity held unassigned until Thursday for the following week

Pitfall 2: Forgetting to train new hires on the seasonal workflow, not just the standard one. A tech who learned in March will drown in August without explicit coaching.
