Work orders often need to be shared with customers, filed for compliance, or handed to technicians in printed form. FieldPulse provides multiple export formats and print options to accommodate these workflows.
Printing a Single Work Order
To generate a printable version of a work order:
- Navigate to Work Orders in the main navigation.
- Select the work order you wish to print.
- Click the Actions menu in the upper right.
- Choose Print or press Ctrl+P (Windows) or Cmd+P (Mac).
The print dialog will use your browser's print function. FieldPulse applies a print-optimized stylesheet that hides navigation elements and reformats the content for standard paper sizes.
Exporting to PDF
PDF exports are useful for email attachments or digital filing. From the work order detail view:
- Open the Actions menu.
- Select Export to PDF.
- Choose your preferred layout:
- Standard — includes all fields, notes, and photos (thumbnails).
- Compact — summary view with reduced whitespace, suitable for single-page printing.
- Customer Copy — excludes internal notes and cost breakdowns.
- Click Generate PDF. The file will download to your default location.
Note: Photos are included as thumbnails in PDF exports. For full-resolution images, download attachments separately from the work order's Photos & Attachments section.
Bulk Export from the Work Orders List
To export multiple work orders at once:
- Go to Work Orders > All Work Orders.
- Apply filters to narrow your results (date range, status, technician, etc.).
- Select individual work orders using the checkboxes, or click the header checkbox to select all results on the current page.
- Click Bulk Actions > Export to CSV or Export to PDF.
CSV exports contain structured data suitable for spreadsheet analysis. PDF exports generate a merged document with one work order per page.
Emailing Directly from FieldPulse
Work orders can be emailed without downloading first:
- Open the work order.
- Click Actions > Email.
- The PDF is attached automatically. Modify the recipient, subject, and message body as needed.
- Click Send Email.
Email history is logged in the work order's Activity tab.
Customizing Print Templates
Administrators can configure default export templates:
- Navigate to Settings > Work Orders > Print Templates.
- Select a template to edit, or click New Template.
- Use the visual editor to arrange fields, add logos, and include custom headers or footers.
- Set the template as default for specific work order types if desired.
Changes to templates apply to all future exports. Previously generated PDFs are not affected.
Limitations and Troubleshooting
- Character encoding: Work orders with special characters in customer names or addresses may display incorrectly in CSV exports opened in older versions of Microsoft Excel. Use Import Data in Excel with UTF-8 encoding for correct display.
- Large exports: PDF exports exceeding 100 pages may time out. Use date range filters to split large requests.
- Photo inclusion: PDFs containing many high-resolution photos can become very large. The Compact layout excludes photos to reduce file size.
