Running a Work Order Summary Report

The Work Order Summary Report provides a consolidated view of work order activity across your organization. This article covers report generation, filtering options, and export formats.

Accessing the Report

  1. Navigate to Reports > Work Orders > Summary
  2. The default view displays work orders from the current calendar month
  3. Use the Date Range selector to adjust the reporting period

Available Filters

FilterDescription
StatusFilter by work order status (Open, Assigned, In Progress, Completed, Cancelled, Archived)
TechnicianInclude work orders assigned to specific team members
CustomerFilter by customer or customer group
Service TypeFilter by service category or template
PriorityFilter by priority level (Low, Normal, High, Emergency)
Created ByFilter by the user who created the work order

Grouping and Aggregation

The summary report supports multiple grouping dimensions. Select Group By to organize results:

  • Date — Daily, weekly, or monthly rollups
  • Technician — Work order counts and hours per technician
  • Customer — Activity summarized by customer
  • Service Type — Performance by service category
  • Status — Distribution of work order states

Aggregation options include count of work orders, total estimated hours, actual hours logged, and average completion time.

Understanding Report Columns

Default columns include:

  • Work Order ID — Clickable link to individual work order details
  • Customer — Customer name and location
  • Status — Current work order state
  • Assigned To — Primary technician
  • Created — Date work order was created
  • Scheduled — Scheduled date and time
  • Completed — Actual completion timestamp
  • Duration — Time from assignment to completion

Use Customize Columns to add fields such as estimated cost, actual cost, parts used, or custom field values.

Exporting Results

Three export formats are available:

  • CSV — For spreadsheet analysis; includes all visible columns
  • PDF — Formatted for printing and distribution
  • Excel — Preserves grouping and summary calculations

Exported files respect applied filters. Large exports (>10,000 rows) are processed asynchronously and delivered via email.

Scheduled Reports

To automate report generation:

  1. Configure filters and grouping as desired
  2. Click Save > Save as Scheduled Report
  3. Set frequency (Daily, Weekly, Monthly)
  4. Specify recipients and delivery time
