How do I set up automatic 'technician en route' SMS to customers?

Hi everyone! Our team is trying to get better about keeping customers in the loop, and I was wondering if there's a way to automatically send an SMS when our technician marks themselves as "en route" in the mobile app? We want customers to know someone's actually coming and not stuck wondering if we're still showing up.

Right now our techs are calling or texting manually and it's just not consistent — some forget, some are driving when they remember, etc. We really need this to be automatic once they tap that button!

Is this something built in or do we need to set up something special? Also can we customize what the message says? Our customers are mostly residential so we want it to sound friendly but professional. Thanks so much!

  • Thanks so much Priya and Josh! I found the settings and got it configured. One quick follow-up — is there a way to not send this for certain job types? We have some internal training visits where we don't need to notify anyone. Or do we just have the tech not hit "En Route" for those?

  • Great question, Deja! Gwen's first option is the official way — Notification Rules per job type. Her "Internal customer" workaround is clever and totally valid if it fits your workflow.

    One thing to note: if you go the rules route, make sure you hit "Apply to existing work orders" when you save, or it only affects new jobs going forward. I've seen folks get confused when old jobs still sent notifications.

    Also heads up — there's a known bug right now where the job type dropdown in Notification Rules is alphabetized differently than your main job types list. We're working on a fix. If you can't find the type you're looking for, scroll carefully or search the page. Should be resolved in the next release!
